FREQUENTLY ASKED QUESTIONS

1.         How do I make changes to my direct deposit? A new direct deposit form must be completed.  It should reflect exactly how you want the deposit handled.  If you do not currently have direct deposits to that account you will need to include the required back up documentation for the new account.

2.         Where do I send my direct deposit form?
It can be sent by inter-office mail to the attention of Payroll in the Office of Financial Management.

3.         How do I stop my direct deposit?
A new direct deposit form must be completed.  Mark the box at the top of the form that states "cancel".   Sign and date the form and forward to attention of Payroll in the Office of Financial Management.

4.         How do I obtain a copy of my W-2?
For active employees with access to ASPIRE you may retrieve a copy of a W-2 back to the year 2003 in the employee self-service module.   Within Self Service choose Employee W-2.   The Adobe form shown will be the most recent years W-2.  For prior years use the Select Organization/Year drop down menu and choose the year you wish to view.  Hit the Go button to obtain the year chosen W-2. Terminated employees will need to contact the Payroll office directly and request a copy.  Please contact  Payroll at (913) 715-0525. For copies of W-2's prior to year 2003 you will need to contact the Payroll office directly.

5.         How do I have additional Federal Tax withheld from my check?
For employees with access to ASPIRE this information can be entered in the SSHR module under Online W-4 form.   Choose the update button and enter the dollar amount you want withheld from each payroll in the additional amount field.   Choose Next to review the changes then Submit to finalize the transaction. For those without access to ASPIRE, you will need to complete a W-4 form which lists your status and number of allowances along with an entry in number 6 designating the additional amount you would like withheld from each pay check.   This form must be signed, dated and forwarded to the Payroll office in the Office of Financial Management for entry.    A copy of the form is available within the OFM intranet site under Payroll and then Forms. 

6.         How do I have additional Kansas Tax withheld from my paycheck?
The additional Kansas withholding form must be completed and forwarded to Payroll in the Office of Financial management for entry.  The form can be found on the OFM intranet site under Payroll and then Forms.

7.         How do I change the Name showing on my Paycheck?
A copy of the Social Security card showing the name you wish to have in ASPIRE must be sent to the Human Resources Department for entry into the system.

8.         How do I change the address my paycheck is being sent to? Employees with access to the ASPIRE system may enter this change themselves by utilizing the SSHR feature.  Within the Self Service Module choose Employee Informational Changes.    Choose the update button and enter the new address information.  Choose next to confirm the changes then submit. Employee without access to ASPIRE must complete an Employee Informational Change form.   That form should be directed to the Human Resources Department for entry.

9.         Can I receive my Paycheck prior to Payday?
No.   The checks are dated to Pay Date and the funds are not available at the County's bank until that date.    If this causes a hardship, we encourage you to use our Direct Deposit feature.   Direct Deposit information must be tested during the payroll cycle so please allow at least one month for this feature to be in place.
